Office hacks: Eliminate inconspicuous small worries in Word typesetting

In the Word layout or graphics process, sometimes encounter some seemingly simple small problems, such as the automatic appearance of a blank page, underline, background color, small arrows, and incomplete display of images, input information is overwritten, shortcut keys do not work, etc., these problems can not be solved quickly and in a timely manner, after encountering half a day to figure out the solution, but also very affected the overall efficiency.

1 full page form after the appearance of a blank page can not be eliminated

Sometimes, in Word to produce a full layout of the form, the next page automatically appears a blank page, no matter how can not be deleted. This is generally the bottom of the box line squeezed the form at the end of the paragraph mark, caused by the automatic line change on the next page. Solutions are as follows.

increase the top and bottom margins of the page, so that there is enough space outside the table to accommodate paragraph marks.

by specifying the height of the lines and columns, the appropriate reduction in the total width and height of the form to make room for the final paragraph symbols (Figure 1).


In the extra blank page, reduce the paragraph line spacing settings, such as set to 1 pound, which will make the blank page in the paragraph symbols shrink back to the previous page (Figure 2).


2. automatically appear when entering text redundant underline

If the Word document in some text below the blue or red underline, wavy lines, how to delete can not be deleted, how to do it?

In fact, these lines are generally not added by the editor, but the Word software automatically added. This is the result of Word’s automatic spell-check function. If you confirm that these lines with the spelling or grammar is not a problem, you want to remove these lines, just click on the “File → Options” in the Word Options dialog box, select “Proofreading”, find “in Word correct spelling and grammar”, the five options below it are removed from the checkbox, click “OK” to (Figure 3).

If you copy the text on the Web to Word, along with the background color is also copied over. At this point, you can first try to select the text by Word, click on the “Font” background color button, select the background color for “no color” to solve.

If the “font” background color settings to cancel the background color is invalid, select the text of the paragraph in question, and then click “Start → Paragraph → Underline”, select the background for “no color”. This will quickly remove the text background color (Figure 4).


4. remove the text between the extra downward vertical arrow

Sometimes, we find that after quoting some information, Word documents at the end of some statements, with the natural paragraph line break different arrows. General return to the end of the natural paragraph for the curved arrow symbol, but now see the straight down arrow. These down arrow symbols are actually “soft carriage return”, we just need to press the Ctrl + H key combination to open the Find and Replace dialog box, in the “Find Content” box, enter “^|”, in the “Replace with” box, enter “^p”, and then click the “Replace All” button to replace them in batches (Figure 5).


These situations have a common feature, that is, we do not need them, do not want them to appear, but they are uninvited, adding to our operational troubles. In contrast, there are also cases where what we would have liked to appear did not appear as we wished, or only a small part of it appeared, or even came this and that, affecting the original content. Now let’s look at some cases in this regard.

5. The image is not fully displayed in its entirety after insertion

I would like to insert a picture in the article, but after inserting the picture, I found that only a part of the content of the picture can be displayed. This is usually due to improperly set line spacing. When we usually write, the general line spacing is set to twenty to thirty pounds, but the height of a picture will be much larger than this value. Therefore, we simply select the picture, press Ctrl + 1 key combination, the picture is located in the paragraph line spacing set to “single spacing”, you can let the picture back to normal display (Figure 6).


6. automatically erase the original content after entering new content

Word’s editing mode is generally the default “insert” mode, after the new input content, the content behind it will automatically move back. If you accidentally edit mode from the “insert” state to “rewrite” mode, then enter the content will automatically erase the original content.

Therefore, just click on the Word software status bar “rewrite” switch, edit mode will return to the “insert” mode (Figure 7).


Tip: You can also switch between rewrite and insert states by using the Ins key on the keyboard.

7. the original convenient drag-and-drop copy operation loses its role

In Word documents, for close editing, if the use of the selection of the mouse directly drag and drop copy or move, than repeatedly use Ctrl + C or Ctrl + V and the menu command way to more convenient and fast. However, sometimes we will find that the mouse drag-and-drop operation may not work, the function should have disappeared, how to retrieve it?

In the “File” menu, click the “Options” command, and then click “Advanced → Edit Options”, check the “Allow drag-and-drop text editing “check box, and then OK, you can restore the text drag-and-drop editing function (Figure 8).
