The Office Presentation Service is a freetool and requires absolutely no setup or sign-in. It allows the owner ofa document to share the document online with others. It is really usefulfor presenting content such as training, marketing, or a presentationwalk-through.
The owner can edit the document, and then resume the presentation andpush the changes, making them viewable to the audience. Afterpresenting, the updated document or notes can be sent to the meetingparticipants via OneNote.
Let’s learn how to present online using the OfficePresentation Service, as follows:
- Open the document you wish to present online.
- Click on the File | Share| Present Online option.
- Choose the presenting service you have access to—in thiscase, Office PresentationService.
- Choose whether to allow the document to be downloaded by theviewers.
- Click on PresentOnline, as illustrated in the followingscreenshot:
- Your document will open in the
Office PresentationService. - The PresentOnline dialog box will display the sharing linkoptions.
- Choose either to copy the link and send it to participants via emailin your own time or send an email right within the Word environment. Forthis example, we will choose the
Send in Email… option, asillustrated in the following screenshot:
- Add the email recipients and send your email, as follows:
- Click STARTPRESENTATION, located on the previous dialog box shown inStep 8, which will now appear after sending the invitationemails, and wait for others to join you.
- The recipients will receive an email with the link you have sent.They need to simply click on the link within the email to start watchingyour presentation.
- You will see the presenter move through thedocument.
- Any changes made to the document are updated to the participantsafter the presenter has made the changes.
- The presenter will make changes to the document by clicking onthe
Edit button on the ribbon,as illustrated in the followingscreenshot:
- Once the change is made, the presenter will resume the presentationand update the changes, as follows:
- Meeting notes can be shared with participants through OneDrive, andthe participants can also download the document from within thepresentation service (if made active by the presenter at the start ofthe meeting).
- To end your online presentation, click on the
End Online Presentation icon located in thePresent Online group of the Present Online tab at the top of thedocument. - You will be presented with a Microsoft Word notification dialog box,indicating that audience participants still connected will bedisconnected if you exit the online presentation.
- Click on End Online Presentationto confirm, or Cancel to continuepresenting the document to the audience, as illustrated in thefollowing screenshot:
