Saving a message in an external format in Microsoft Outlook 2019

  1. Open a message you wish to save to an external format, then click onFile | Save As. In the Save As dialog box, select the drive andfolder to save the message into, then enter a filename into the relevanttext area. The default save option in Outlook is Outlook Message Format – Unicode(*.msg), as illustratedin the following screenshot:

  1. Click on Save. Saving in thismessage-type format will open up the email message in Outlook when theuser double-clicks on the My Finished Report.msg file aftersaving it.
  2. Other options are available in the Saveas type: drop-down list, such as TextOnly—this saves the message as a .txt file and willremove any pictures, graphics, and formatting from the message. TheOutlook Template (*.oft) option works exactly the same as aWord template, for example, it allows you to save the formatting of amessage so that you can apply this message template to a new email at alater stage. The HTML (*.htm; *.html)option will save the message in web format (with the code, images, andtext in a separate file to accompany the message), and will open in abrowser when opened after saving. The MHTfiles (*.mht) option is a web page archive file format that alsoopens in a web browser.

  1. If you prefer, you can save your email in .pdf format forsafekeeping on your computer, then use the File | Print | Microsoft Print to PDFoption, as illustrated in the following screenshot:
